A new-hire benefits checklist with clear dates.

Separate the hire date, enrollment deadline, and coverage start date. Then give the employee enough time and support to make the decision.

Quick answer
Use the actual plan’s eligibility and enrollment rules. A generic “30 days” or “week two” schedule should never replace the employee’s real deadline.

Three dates to confirm

Put these in the welcome materials

An adaptable onboarding sequence

  • At the start: provide dates, eligibility information, plan materials, and the contact for help.
  • Before the deadline: offer a benefits conversation at a time that fits the employee’s schedule.
  • Before submitting: check dependents, costs, beneficiary fields where applicable, and required documents.
  • After submission: confirm receipt and acceptance, then check the effective date, carrier records, and payroll deductions.

Applicable group health waiting periods generally cannot exceed 90 days once a person is otherwise eligible. Eligibility conditions and ACA measurement are separate questions; have the actual setup reviewed.

Help with the coverage gap

If coverage starts after prior coverage ends, flag the dates early. The employee may want to compare continuation coverage, a spouse’s plan, or Marketplace options. Each has its own eligibility and deadlines; do not promise a particular option will be available.

We train company administrators to enter hires and terminations; Benefit Experts handles carrier changes. New-hire education and support after enrollment are provided to client teams with the session scope confirmed before enrollment.

Use secure access for election confirmations and dependent information. A platform entry is a step in the process, not a reason to skip carrier and payroll checks.
